Teamio Huddle for Open Dental released in Beta
We’ve released Teamio Huddle in beta as our latest update that includes some important Open Dental KPIs (Key Performance Indicators).
Here’s few things to keep in mind for the first version of Huddle:
It’s in Beta – which means it’s our work in progress. We will continuously be making improvements to it with feedback.
Longer Load time: There’s significant amount of querying that’s being done to get all the data you need for Huddle. Depending on the size of your practice, it can take up to 6-8 seconds to load the page.
Since we didn’t want to wait to get it perfect, we will be introducing caching in the future as a way to speed up load times.
Data validation: The data being displayed depends on what you’re inputting into Open Dental.
For example, if your team isn’t including frequencies for PANO/FMX in the Open Dental’s insurance section, then it’s not going to show up on Teamio.
If you’re not indicating Ortho benefits as part of the patient’s insurance plan, it won’t show up on Huddle.
If you’re seeing discrepancies and you believe you’ve got it correct on Open Dental, please let us know, so we can look into it.
What’s inside Teamio Huddle
Why we’re calling it “Today’s Huddle“
If you’re a current user of Teamio or if you’ve ever talked to me over the phone, you may have heard me say that “today is the most important day”.
This is the way we designed “Today’s Dashboard” – which shows your daily follow-ups and tasks that are due for your team split by the most important systems in your practice.
It’s the same reason why we’re calling it “Today’s Huddle”.
Goal is to see how we can maximize the opportunities that exist on today’s schedule from data that exists in Open Dental.
Besides looking at the big Open Dental Key Performance Indicators (KPIs) such as Net Production, collections, New Patients, Hygiene Re-Appointment Rate – the point of the Huddle is to get you the information FASTER that you would otherwise routinely check manually one by one by going into today’s scheduled patients’ chart in Open Dental.
Here’s what we’re starting with for our first version:
- Unscheduled Family Recalls – These are patients who are family members of patients on your schedule today that DO NOT have a recall appointment scheduled!
- Patients due for PANO/FMX – These are patients on your schedule for hygiene that may be due for PANO/FMX, and may possibly be eligible by their insurance!
- Patients due for BW Xrays – These are patients on your schedule for hygiene that are due for BWs and they’re ELLIGIBLE by their insurance!
- Unscheduled Treatment – This is a list of patients who have come in for hygiene appointment today that have unscheduled treatment in their treatment plan in Open Dental.
- Orthodontic Benefits – This is a list of patients who are on your schedule that have Orthodontic Benefits.
- Internal Referrals & Net Production – These are patients on your schedule TODAY who have referred other patients and their completed Net production values.
- Today’s Birthdays on Schedule – list of patients on your schedule whose birthday is today!

Net Production & Collections:
Today’s Net Production – Today’s total Completed Production so far. Net adjusted production is taken into account for PPO offices.
Month-to-date Net Production – Total completed production to date. Net adjusted production is taken into account for PPO offices.
This is equivalent to Open Dental’s built in Production and Income report where you would change the date to today’s date, and show Insurance writeoffs using procedure date.
Total Collections – Total of patient income and insurance income. Patient income incudes all payments made by credit cards, cash, check. Insurance income includes all insurance payments entered into Open Dental.

- Showing completed production as % of Scheduled Production total for the day and the month
- Production by provider for last business day
- Total Collections for last business day
- Scheduled production for total practice by month
- Production scheduled by provider for today
- See how much each provider treatment planned yesterday, month to date and how much was accepted for the same date ranges
New Patients
Today – Shows new patients on the schedule for the day.
This month – Shows new patients on the schedule for the month.
Clicking on the corresponding link will display a pop-up with more details like below:
Appointment Status shows whether the appointment is completed already or is scheduled.
Appointment Description shows what procedures are attached to the scheduled or completed appointment.
$ Net Appointment Value – Actual net production value of the appointment. Takes into account adjusted fees for PPO offices.
Hygiene Re-Appointment
Seen Today – Shows you a list of patients who have completed their Hygiene appointments today.
Re-appt – Shows you a list of patients who were seen today AND have their next hygiene appointment SCHEDULED!
Seen this month – Shows you a list of patients who have completed their Hygiene appointments month-to-date.
Re-appt – Shows you a list of patients who were seen this month so far AND have their next hygiene appointment SCHEUDLED!

Coming soon :
Being able to initiate a follow-up for patients who did not schedule their next hygiene appointment.
Instead of the report showing you patient didn’t schedule – now your team can actually take an action and set up a follow-up around the time their recall is due.
This way the follow-up will show up as a task on their Daily Dashboard on the day it’s due!
Unscheduled Family Recalls from Open Dental
These are patients who are family members of patients on your schedule today that DO NOT have a recall appointment scheduled!
For instance – if mom who is on the schedule today, is checking out, you can see on this list if her kids are not scheduled for their hygiene.
This is a good time to ask mom to schedule the kids’ hygiene appointments.
Patients due for PANO/FMX
These are patients on your schedule for hygiene that may be due for PANO/FMX, and may possibly be eligible by their insurance!
Teamio has no way (not yet) of pulling patient’s prior history of procedures done at ANOTHER PRACTICE
Last PANO/FMX – Last date of PANO/FMX in patient’s chart in Open Dental. If it’s blank, it means a PANO/FMX has not been taken in your practice.
PANO / FMX Frequency – Frequency of PANO/FMX as allowed by the patient’s Insurance. If it’s blank, it means there isn’t an Insurance plan attached to the patient OR a frequency is NOT entered in patient’s Insurance Benefit.
Date Due – Next due date of patient’s PANO/FMX. If it’s blank, it is not set up yet by Open Dental.
Patients due for BW Xrays
These are patients on your schedule for hygiene that are due for BWs and they’re ELIGIBLE by their insurance!
Unscheduled Treatment
This is a list of patients who have come in for hygiene appointment today that have unscheduled treatment
Note: It will not show a patient if they have an appointment scheduled within the next 60 days in the office.
Orthodontic Benefits
This is a list of patients who are on your schedule that have Orthodontic Benefits.
Internal Referrals & Net Production
These are patients on your schedule TODAY who have referred other patients and their completed net production $ values.
To view details of which patients were referred and their individual completed production in your office, click on the link in the column # of Patients Referred.
